From "I Thought I Was Doing OK" to a Clear AI Roadmap: Dr Stanford's Story

When Dr Stanford* booked an AI Tool Assessment with AI With Ease, she wasn’t sure how it would help.
“I’m a DIY person,” she says, “and I thought I was doing OK with AI. I’d been navigating my way through the questions and concerns I had about AI and finding my own way forward.” She’d heard the term “AI coaching” and was curious more than convinced. As she puts it: “I know about life coaching and sports coaching, but AI coaching…??”
If you had a similar reaction, this case study is a must-read.
A demanding career, one overflowing plate
Dr Stanford is a medical doctor with a full, demanding schedule, and the kind of admin load that comes with it: patient care on one side, and dense, detail-heavy professional documentation on the other.
By the time she came to her discovery call, a few specific frustrations had bubbled to the surface. A long, dense professional document wasn’t summarising properly when she tried asking ChatGPT for a simple overview. Her notes were narrative by nature, but a chunk of her record-keeping needed to be captured in specific structured fields too, and there was no consistent, shared way for her team to do that. Confidential professional information needed careful handling. And, like a lot of small business owners and professionals, her personal tax filing had become a biannual scramble rather than something manageable.
None of these are small problems. But none of them needed a complete overhaul, either. That’s the space an AI Tool Assessment is built for.
What the assessment uncovered
The process started with a 45-minute discovery call, where Dr Stanford talked through what was and wasn’t working. What stood out immediately was that she was already using ChatGPT well and consistently. Instead of starting her from scratch, the goal was to build structure around what she’d already figured out on her own, and fill in the gaps she hadn’t had time to research herself.
From there, the follow-up research went further than the call itself. It turned into a tailored roadmap covering, among other things:
- A plain-language guide to what ChatGPT is genuinely good at versus where it needs a human hand on the wheel, especially with long documents and anything sensitive.
- A simple, POPIA-aware approach to keeping patient information private while still getting real use out of AI tools.
- A practical fix for summarising long documents, with ready-to-copy prompts built around her workflow.
- A reusable documentation template so narrative notes could be reliably restructured into the structured fields her record-keeping required.
- An honest comparison of ChatGPT’s tiers against her real usage, plus an evaluation of an AI scribe tool for patient consultations.
- A monthly tax review habit paired with TaxTim, including partner discounts she could potentially benefit from.
Every recommendation came with pricing laid out honestly, including the free and low-cost options, and a suggested rollout so Dr Stanford wasn’t left staring at a long list wondering where to start. A 30-minute follow-up call then walked through the roadmap together, making sure it made sense in the context of her real week.
What changed for Dr Stanford
The most telling part of Dr Stanford’s testimonial isn’t the tools themselves, it’s what happened after the roadmap landed in her inbox.
“What impressed me was that the coaching didn’t stop when the session ended,” she says. “The coach did further research into my profession and came back with a practical, actionable implementation plan tailored to my needs. AI tools relevant to my particular line of work were presented alongside a range of pricing options, including zero-cost alternatives.”
The follow-up sessions mattered just as much as the roadmap itself: “The coaching approach has really helped me prioritise the first steps in what could otherwise feel like an overwhelming journey. Follow-up sessions have kept me accountable and helped me turn the personalised plan into actual implementation, rather than just another list of things I could be doing.”
And the outcome, in her own words, is the part we’re most proud of: “A relatively small investment in myself and my business has already had a surprisingly big impact. I’m finding those elusive extra minutes, and sometimes hours, in my day, while gaining a much clearer understanding of how AI can actively work for me rather than simply being something I turn to when I’m stuck.”
Perhaps most importantly, given how she described herself at the start: “It hasn’t taken away my independence, quite the opposite. It has given me direction, saved me time and helped me focus my efforts where they can make the biggest difference. I’m still doing it myself, but now I’m doing it with a more relevant toolkit and a clearer idea of where I’m going.”
That last line captures the whole philosophy behind AI With Ease. AI doesn’t replace Dr Stanford’s clinical judgement, her relationships with patients, or the specialist knowledge she’s built over years of practice. It just clears some of the admin fog so she has more time and headspace for the parts of the job only she can do.
If this sounds familiar
Dr Stanford isn’t unusual. Most of the professionals and small business owners we work with are already capable, resourceful people who’ve been finding their own way through AI, one Google search and one trial-and-error prompt at a time. An AI Tool Assessment isn’t about telling you that you’ve been doing it wrong. It’s about taking what you’ve already started, adding some structure, and handing you a clear, honest, tailored plan you can actually act on.
If you recognise a bit of Dr Stanford’s story in your own week, whether that’s a task that keeps eating more time than it should, or a nagging sense that AI could probably help but you’re not sure where to start, we’d love to have that conversation with you too.
